roles and responsibilities
Project Coordination & Delivery Support
Support the planning, coordination, and execution of multiple projects or workstreams
Maintain project plans, schedules, trackers, and action logs
Track milestones, deliverables, risks, and dependencies, escalating issues as required
Support preparation of project status updates, reports, and dashboards
Stakeholder & Communication Management
Coordinate meetings, workshops, and governance forums (agendas, minutes, actions)
Act as a central point of contact for project communications
Liaise with internal teams and external partners to ensure alignment and timely delivery
Support consistent communication of timelines, priorities, and expectations
Governance, Process & Documentation
Maintain project documentation in line with organisational standards
Support adherence to project governance, compliance, and internal policies
Assist with onboarding/offboarding of project resources where required
Support audit readiness by ensuring documentation is accurate and up to date
Administrative & Operational Support
Support budget tracking, purchase orders, and invoice coordination (where applicable)
Assist with resource tracking and reporting
Maintain accurate records across project tools and systems
how to succeed
Essential
Proven experience in a Project Coordinator, Project Administrator, or similar role
Industry experience (within Medical devices, pharmaceuticals
Strong organisational and time-management skills with attention to detail
Ability to manage multiple priorities in a fast-paced environment
Strong written and verbal communication skills
Proficiency in Microsoft Office (Excel, PowerPoint, Word); experience with project tools is an advantage
Desirable
Experience working in a matrix or cross-functional environment
Familiarity with project management methodologies (e.g. Agile, Waterfall)
Experience supporting regional or global projects
Exposure to compliance-driven or regulated environments
Degree or equivalent experience in Business, Administration, Project Management, or a related field
Personal Attributes
Highly organised, proactive, and reliable
Strong interpersonal skills with the ability to build effective working relationships
Comfortable working independently with appropriate escalation
Solutions-focused with a hands-on approach

This role offers a very competitive hourly rate. This contract will run until the end of 2026. This role is open to candidates in Leeds, Pinewood or remote - travel to site will be required at times.
