Service Operations Specialist
Location: Dublin
Duration: 12 months
Hours: 18.5 hours a week (part time)
Service Operation Specialist is responsible for key administrative duties supporting Service Operations and field service groups. Adheres to environmental policy, procedures, and supports department environmental objectives.
Service Operation includes:
• Develop and implement department-wide quality control measures
• Recommend new procedures for increasing the efficiency of day-to-day operations
• Maintain communication with operations manager, staff members, and stakeholders to ensure adherence to protocols across key touch points
• Assist the operations manager in developing, planning, and coordinating operational activities
• Oversee inventory management practices and improve them when necessary
• Ensure that operations are in legal compliance with local and national regulations
Roles and Responsibilities
Manage Spare Parts backorder updates and escalations for Direct Markets.
Support Direct market Accessory exchange process in SAP ERP system and in the Field.
Support the Day-to-Day requirements for Spare parts in Distributor markets including order-to-cash and return -to-factory.
Enforcement of policies on Distributor Warranties and Returns.
Support Customer account issues (Accounts receivable, invoicing and equipment record updates).
Process and file Field report paperwork and estimates.
Maintain departmental documentation – contact lists, SOPs, Distribution lists.
Manage Calibration tool returns to and from the Field. Primary contact for Third party and factory calibration.
Liaises with regional logistic providers and distributors accounts regarding customs issues and required documentation.
Service History recording for Distributor market.
Setup and Manage POs for Business partners trough SAP and EMP
Other Tasks as required by the business.
How to Succeed
Third Level qualification in a Business or Technical Discipline
Experience in Logistics, Distribution centers, Freight forwarding, Stock Management.
Demonstrated administration experience within a similar call center/engineering support environment.
Ability to analyze current processes/procedures and recommend corrective actions.
Ability to multitask and work to tight schedules within a high-paced environment.
Fluent in English and preferably one other European language.
Commercially aware, ability to monitor service levels and drive improvement feedback to Providers.
Excellent communication skills.
Strong organizational skills.
Advanced MS Office skills (Word, Excel, PowerPoint, Outlook).
Experience with SAP or other ERP systems required - including reporting.
