Imagine your next role as an Administrative Assistant. We are looking for an experienced Administrative Assistant to join our site in Zug, Switzerland.  



Key responsibilities: 


  • Agenda management and general administrative tasks for VP Procurement EMEA Janssen and direct team 

  • Agenda management and general administrative tasks for Senior Directors 

  • Organization of weekly, monthly, and quarterly Leadership Team meetings 

  • Ad hoc/backup administrative support for the EMEA Procurement Team 

  • Booking of flights, hotels, and cars for Directors and above 

  • Coordination of visa matters, like timely applications and invitation letters 

  • Management of monthly expenses for Directors and above 

  • Manage all logistics for interviews 

  • Handle all new employee requests and coordinate onboarding

  • Edit and send announcements for the Procurement team 

  • Coordination of internal and external events, conferences, and meetings locally and outside of Switzerland 

  • Various administrative tasks upon request of the team



how to succeed:


  • Proven administration experience is required.

  • Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint 

  • Strong verbal and written communication skills in English 

  • Strong multi-tasking skills 

  • Analytical skills & accuracy 

  • Organization skills and ability to establish and revise priorities within the scope of responsibilities 

  • The ability to use good judgment and work independently

  • Strong interpersonal skills
