Job Title: Administrator 


 

Location: Johnson & Johnson In Castletroy, Limerick


 

The role offers temporary remote working, then it will return to hybrid working, working 3 days on site and 2 days remote.


 

ASAP start - 12 month contract, possibility of an extension 


 

Hours: 40 per week 


 

Hourly Pay Rates: €15 - €22 PAYE


 

The Role:

 

Administrator to join the Surgical Vision department to provide support to 2 senior directors with administrative and organisational support, as well as general office administration and support.


 

Main Responsibilities:

 

  • Diary Management
  • International travel arrangements, hotel bookings etc
  • Reconciling expenses 
  • Arranging meetings – Zoom, TEAMs, Townhalls etc
  • Organising Travel VISAs etc
  • Maintaining records, Distribution Lists and Organisation charts
  • Preparation of PowerPoint presentations & internal communications
  • General office administration – stationary orders etc
  • Support onsite meetings / visits


 

Other administrative duties

 

  • EHS point of contact for office
  • Point of contact for Return to Workplace for office personnel
  • Raise and maintain Purchase Orders
  • Maintain SharePoint folders
  • Employee onboarding preparation
  • International travel visa requests
  • Coordination of records for tax substance


 

Qualifications & Skills required

 

  • Leaving Certificate Qualified, additional qualifications preferred
  • High level of digital literacy, including Microsoft Word, PowerPoint, Outlook. Specifically multiple diary management
  • Handling critical/confidential information with integrity
  • Responding to enquires / requests in a timely fashion with clear communication
  • Attention to detail and accuracy
  • Excellent interpersonal skills to collaborate with multiple functions/ stakeholders at all levels of the business
  • Ability to build relationships
  • Self-motivated and organised
  • Proactive and forward planning
  • Able to work flexibly and under pressure to deadlines
  • Positive ‘can do’ attitude
