As the Executive Assistant to the Senior Director, you will manage a complex and often confidential agenda while enabling efficient decision-making and smooth daily operations. This role requires discretion, proactivity, and the ability to coordinate across diverse teams and external partners within a high-growth environment.
roles and responsibilities
You will serve as a pivotal "gatekeeper" and liaison, ensuring the Senior Director’s office runs with precision and professionalism.
This will involve:
Manage the Senior Director’s calendar, including scheduling, prioritizing and reconciling meetings, and protecting time for strategic activities.
Handle confidential items on the agenda with absolute discretion and sound judgment.
Screen, prioritize and route incoming communications (email, calls, mail); draft and prepare confidential correspondence and memorandums.
Arrange and coordinate internal and external meetings (logistics, agendas, materials, minutes, follow-ups) and provide timely reminders to participants and stakeholders.
Make travel arrangements (air, ground, accommodation), prepare itineraries, process travel bookings, and produce detailed expense reports.
Process invoices, maintain financial/expense records and support basic budget tracking.
Maintain organized physical and electronic filing systems; manage document retention and retrieval.
Support with guests and visitors i.e. VPs, Directors and Sr Directors.
Take initiative to follow up on action items, monitor status updates, and escalate issues appropriately.

You are a proactive problem-solver who anticipates needs before they arise and remains calm under the pressure of a fast-paced corporate environment.
You will also bring:
Bachelor’s degree or equivalent experience.
Proven track record of managing complex calendars, travel, and high-volume communications.
Proven experience in supporting agendas/calendars of senior managers.
Proficiency with Microsoft Office (Word, Excel, PowerPoint) and calendar tools (Outlook).
Excellent written and verbal communication skills.
Experience with expense management tools (Concur or similar).
Flexible and adaptable mindset to changing priorities.
Discreet, trustworthy, and respectful of confidential information.
