Job Role Opportunity


An exciting new opportunity has arisen for a Marketing Administrator - Immunology to join the Immunology team reporting to Senior Product Manager - IBD based in Janssen High Wycombe office.


Role Purpose


An exciting opportunity has arisen for a marketing co-ordinator to provide logistical and administrative support to the product managers and digital marketers, to increase efficiency of the team.


Role Activities


Approval Process


Run the marketing material approval process by


Collaborating closely with the (Senior/Associate) Product Manager, creative agencies, medical affairs and the business unit director


Uploading jobs onto the copy approval system


Following up with business partners to encourage timely approval of materials through the copy approval system


Archiving jobs once finalised


Financial processes


Raise purchase orders for the Immunology team, liaise with suppliers/procurement to update them on status. Track team financials. Work with procurement and (S/A) Product Manager to ensure timely goods receipting and invoicing from suppliers.


Arrange monthly budget meetings with Product Managers


Run an open purchase order report every 2 weeks


Work with our finance partner and homecare manager to ensure our homecare companies are being paid in a timely manager.


Materials Management


Following direction from (S/A) Product Manager, collaborate closely with print company to handle printing and reprinting of marketing materials


Following direction from (S/A) Product Manager lead destruction of stock and updating of materials with PI / SmPC changes when necessary, sending out communications to team and agencies in a timely manner, monitor confirmations from account team that they have followed instructions.


Warehouse Management


Lead/Manage the relationship between Janssen/CPG


Arrange quarterly meetings with CPG (warehouse)


Run reports to ensure Janssen are spending money wisely


Work with the marketing teams to destroy any unused stock


SOP Management


Leading the SOP Set up maintenance monitoring and closure of user-created externally facing e-mail inboxes


Working with IT and the business to ensure Janssen are compliant


General Admin


Answer telephone and email queries from the sales force and support them where appropriate with materials, posting materials to them, arranging deliveries and couriers etc.


Lead CPG warehouse stock levels of account team promotional/educational materials; book new stock in, monitor levels of promotional items, and make (S/A) Product Manager aware when items are low, order and arrange delivery of materials.


Send out materials to homecare companies on request


Provide holiday/sick cover to other Marketing Co-Ordinator


Qualifications


GCSE English and Mathematics


Experience and Skills:


Required:


Highly organised individual with a proactive nature


Interest in budget management


IT Literate: Good understanding and use of core IT systems such as Excel, Outlook, Word


Ability to learn new processes quickly


Ability to run multiple projects


Maintain high level of attention to detail


Experience in raising purchase orders, preferably using SAP


Preferred:


Experience within the pharmaceutical industry.


Experience of basic financial management.
