Role Purpose

 

The Internal Communication Specialist will lead and support the delivery of key internal communication activations for Janssen UK.  By collaborating with teams across the business, and providing logistical support for critical internal events, such as all employee town halls, people leader meetings and the annual company kick-off meeting, the Internal Communication Specialist will play a meaningful role in helping to inform, engage and inspire Janssen UK employees

 

 

Responsibilities

  • Support the development and distribution of leadership announcements, success stories, and inspiring case studies
  • Identify and lead the development of content for Janssen UK’s internal sites, including the Janssen podcast channel.
  • Work with internal business partners to create and share business critical information to support teams and people leaders
  • Collaborate with Janssen UK Corporate Communication colleagues to ensure our internal and external narratives are aligned
  • Partner with Employee Resource Groups across the organisation to amplify and advance our Diversity, Equity and Inclusion (DE&I) ambitions
  • Measure the impact of all internal communication activations and make suggestions for improvement
  • Apply your experience and insights to contribute to the Janssen UK internal communications strategy
  • Identify and pursue creative and innovative ways to support the delivery of best-in-class internal communications
  • Collaborate with internal working groups as well as the EMEA & global communication colleagues to promote and execute global and regional initiatives locally
  • Take ownership of the design, content and production of the Janssen UK fortnightly internal newsletter
  • Work closely with a range of external suppliers and agencies to support the delivery of internal communications materials on time and on budget,
  • Provide logistical and administrative support for all internal events, such as monthly town halls, the Janssen UK annual company kick off meeting, Lunch & Learns and VIP visits.
  • Create and maintain the internal communications budget tracker

 

Key Activities

 

  • Draft and send out company-wide emails using the Eloqua platform  
  • Edit and proofread content
  • Maintain and update the master distribution lists
  • Regularly update the content on our internal sites  
  • Maintain the internal communications content calendar
  • Collaborate with Janssen UK HR, commercial leaders and other key functions to promote internal events and initiatives through the appropriate communication channels
  • Regularly update the internal communications metrics tracker to continually measure and evaluate the effectiveness of employee communications
  • Work with internal partners (facilities, security, IT) to provide end-to-end logistical and technical support for internal events and VIP visits
  • Set up and support company-wide webinars via Zoom, including sending out invitations and keeping track of attendance; facilitating senior leadership Q&A sessions using tools like Poll Everywhere; and compiling and sharing post event feedback
  • Ensure all internal events are tracked against a detailed project plan for both timescale and budget
  • Review quotes and invoices submitted by agencies for consistency, accuracy and work closely with finance to ensure all invoices are paid on time



 

Essential technical knowledge, skills and experience

  • A proven track record and passion for internal communications and a minimum of three years previous experience
  • Excellent written and verbal communication skills
  • Excellent attention to detail
  • A deep understanding of the value of internal communication and employee engagement
  • Experience of organising large scale virtual and face to face employee events
  • Proven track record in working to a budget
  • Proficiency with internal collaboration and meeting platforms (Microsoft Teams and Zoom)
  • Proficiency with crafting and updating content on SharePoint
  • Excellent stakeholder management skills with the ability to build relationships at all levels of the business
  • Ability to adapt and respond quickly to change
  • Familiarity or experience working in large, complex corporate environments

 

Desirable knowledge, skills and experience

 

  • Proficiency in Eloqua Platform
  • Proficiency in Photoshop

 

Qualifications

 

A university degree or equivalent in communications or journalism is desirable but not essential

Key Compliance Requirements

  • Complete annual Drug Safety, ABPI and HCC Awareness training
  • Report Adverse Events and complaints in a timely way to Drug Safety according to current Adverse Event Reporting guidelines/SOP and to maintain Regulatory compliance
  • Act in accordance with ABPI Code of Practice and Johnson & Johnson HCC requirements
  • If commissioning contractors or third-party organisations, put contracts in place and provide training so that these individuals also act in accordance with Johnson & Johnson HCC requirements when interacting with Healthcare Professionals and report adverse events and complaints (as above).
  • Understands and follows the designated SOPs for the role
