EMEA Legal Operations Specialist

Location: Diegem

Working mode: Hybrid, 3 days on-site and 2 WFH

Duration: 12 months (opportunity for a contract extension)

Hours: Full-time, 40 hours per week (32 hours/80% can be considered)

Pay rate range: Competitive hourly rate

The Johnson & Johnson EMEA Global Legal Organization (GLO) is recruiting for an EMEA Legal Operations Specialist to support its spend and matter management platform, ASCENT, along with associated processes.  

The Specialist will work closely with the ASCENT EMEA Legal Ops Support Team, GLO EMEA lawyers and professional associates, and external counsel. The position will also support business and cross-functional team members at both global and regional levels, coordinating and facilitating ASCENT processes. 

This role requires a strong analytical and problem-solving mindset, excellent interpersonal skills, and a growth-oriented, high-performance demeanour. The EMEA Legal Operations Specialist will develop subject matter expertise in the ASCENT platform. 

roles and responsibilities

  • Onboarding new and updating existing law firm accounts in APEX (J&J supplier database) and ASCENT, as well as managing internal user accounts.

  • Leading training sessions on tool usage for legal, business and external partners and providing first-line support for matter, budget and invoicing inquiries.

  • Managing the EMEA ASCENT Legal Ops Team shared mailbox.

  • Maintaining accurate records and data integrity, including creating and updating internal databases and user manuals.

  • Driving data hygiene and optimization initiatives.

  • Supporting internal audit teams by providing relevant information and documentation.

  • Reviewing invoices for compliance and managing them accordingly through detailed analysis.

  • Addressing accounting and financial inquiries by thoroughly researching and interpreting relevant data.

  • Overseeing system performance and identifying potential issues through effective troubleshooting.

  • Generating reports and utilizing strong analytical skills to support financial stewardship initiatives.


how to succeed

  • Bachelor’s degree in finance, accounting, business administration, or relevant experience.

  • 2-4 years of working experience in finance or data analytics, or a strong understanding of finance and business concepts.

  • Strong proficiency in Excel, Power BI and/or other data analytic tools is highly preferred.

  • Experience with cross-functional coordination and management support; strong teamwork skills are essential.

  • Ability to manage complex issues under pressure, demonstrating strong attention to detail, effective time management, and solid prioritization skills.

  • Capability to handle confidential matters with discretion and sound judgment.

  • Excellent written and spoken English skills; additional languages are a plus.
