Medical Events Coordinator 

(Medical Operations Project Lead)


Location: Remote, must be based in the UK. 

Travel: Travel to events within Europe will be required during busy periods 

Duration: 12 months initially 

Hours: 37.5 per week

roles and responsibilities

  • Event Project Management - responsible for preparation, conduct, and closure/reconciliation of HCC sensitive cross border medical events (standalone, congresses, advisory boards and individual consultancies…)

  • Manage the project coordination with internal and external stakeholders/agencies with event owner and also manage customer interaction with HCPs/HCOs/Scientific Societies organising congresses and third scientific party events.

  • Production (including digital production) and logistics agencies for each event

  • Coordinate, align and act as primary contact point with all external agencies

  • Coordinate event wrap-up and evaluation including feedback forms

  • Work with budget owner on yearly plans of events and programs

  • Coordinate the preparation of medical HCC sensitive events with the EMEA MAF team(s) event owner (MESRL for ME activities, or  EMPL, EMAD, EMAs, for other MAF events)

  • Responsible for set up of preparation meetings with event owner and internal/external stakeholders/agencies. 

  • Proactively reach out to event owner in a continuous way and escalate issues if needed

  • Management of all HCBI aspects related to event project management and Educational Grant/Sponsorship/Consultancy or speaker agreements management

  • Closely work with the EMEA Event Support (P2P) team to follow contract and payment processes 

  • Post event reconciliation, filing and archiving, 

  • Ensure that all activities are carried out in compliance with regulatory guidelines, HCBI and company policy and for medical education projects follow the ME Excellence guidelines



how to succeed

You will have excellent interpersonal, organisational skills, time-management skills and communications skills, both written and verbal. You will have proven skills at developing and managing varied relationships within and outside the company. You will also bring:

  • BSc or similar 

  • 4-5 years’ experience in Pharma in an events based role

  • Experienced in working in a complex matrix / virtual environment

  • Familiarity with EFPIA and/or local code in country where based

  • Fluency in English language required.

  • Fluency in additional EMEA languages an advantage

  • Ability to identify and resolve issues that arise during execution of tasks.

  • Knowledge of J&J travel policies (AMEX), and internal systems used (including iCONNECT, Concur, ICD, HPR, Cornerstone, eMP, LYNX, CBI and others ) would be beneficial

  • This role offers a very competitive hourly rate. This contract will run for a 12 month duration and has a strong chance of extension. 

  • This is a remote position. Must be based in the UK. 

  • Requires travel to events within Europe.
