Department:
Records and Information Management Operations (RIM Ops) is part of the Worldwide Records and Information Management (WWRIM) organization and reports into Information Security & Risk Management (ISRM). RIM Ops is responsible for the implementation and maintenance of RIM programs in compliance with the WWRIM standards and guidelines.
The objective of Records and Information Management (RIM) is to manage records in an efficient and effective way throughout their complete life cycle, from the moment they are created to the moment they are destroyed, and to ensure the preservation and accessibility of records in compliance with legal, regulatory, and historical requirements.
The function is to support the RIM Ops BENE/UK program in the provision of Records and Information Management services to 11 J&J companies in 3 sectors (Pharma, Medical Devices and Corporate)
Your responsibilities and your Impact:
Maintenance of the network of contact persons (Records Coordinators, Archive Coordinators and Signature Authorities) in the different business units/departments
Coordination of the archiving of inactive physical records with the Records Coordinators, Archive Coordinators, the mail room and Merak
Coordination of scanning of vital records with the Records Coordinators and Merak
Monitor compliance with the WWRIM Annual Training on a monthly basis
Provide basic audit support
Maintenance of the RIM Operations SharePoint site
Perform records searches in the RIM databases for Document Collections for litigation
Support the RIM Acquisitions & Divestitures Center of Excellence by coordinating all required e.g., perform searches in databases, motivate business partners to review records, archive applicable records
Handling administrative requests and queries from EMEA Records Managers
Document internal processes in Work Instructions to increase operational continuity
Education and Experience Required for Role
Bachelor’s Degree
Experience at Johnson & Johnson or in a complex working environment
Experience in Records and Information Management or in a Compliance or Quality environment and understand the need to work accurately in line with existing Standards and Processes
Enjoy working in a team, transparent and open to discussion
Customer oriented and resistant to stress
Self-starter with a hands-on mentality
Strong written and verbal communication skills in English and Dutch
Proficiency in MS Office (Microsoft Word, Excel, Outlook and PowerPoint) and Adobe Acrobat
Excellent planning, scheduling and organizational skills with sense of priorities
Discretion and confidentiality are essential attributes to possess
